TITLE: PART TIME RECEPTIONIST

REPORTING TO: Head of Business Services

LOCATION: */ * Arran
Quay, Dublin 7. D *E *

WORKING DAYS: Monday and Tuesday 9. *am –

Permanent (following 3 months probationary period)

ROLE SUMMARY

We are seeking a receptionist to job share the role in our office in
Arran Quay.

This role requires practical organisational skills alongside the
ability to engage confidently and sensitively with a variety of
individuals, including clients, professionals, visitors, and
occasionally distressed callers. You will be required to interact with
prospective clients, at times in stressful circumstances.

As the first point of contact, our reception is crucial in creating a
professional and welcoming environment to support the organisation's
delivery of services. The role requires resourcefulness, empathy and
excellent communication skills.

MAIN DUTIES & RESPONSIBILITIES:

RECEPTION

* Promptly opening the reception area.
* Answering and logging all incoming calls and the monitoring of
messages and emails.
* Overseeing the electronic daily diary of all client appointments.
* Handling information queries, including logging and passing on
messages to staff members, including therapists who may be otherwise
engaged.
* Welcome and greet clients and visitors into and out of building
* Efficiently managing the handover of reception duties, ensuring
colleagues are fully briefed on necessary visitors, appointments, and
follow-up actions.
* Dealing with all incoming and outgoing correspondence, post,
couriers, and hand-delivered items, in accordance with established
procedures and GDPR rules and regulations.
* Scheduling and preparing meeting spaces to facilitate meetings as
required.
* Set up tea/coffee facilities in the waiting room.
* Booking external meeting rooms and catering, if needed.
* Monitoring and processing stationery orders and house maintenance
requests.

OTHER

* Work with the other receptionist to ensure seamless handover

* Building

* Manage the general maintenance of the building
* Liaising with and monitoring the contract cleaner and other
vendors.
* Alarm maintenance

* Office 

* Be responsible for maintaining, ordering and purchasing all office
supplies, Stationery, Toners, Paper towels etc.
* Management of mobile phones for all staff with provider.

* Other administrative tasks as required

in handling the operational aspects of the role.

* Experience in a similar role would be preferable

solutions to various challenges that arise.
* Good working knowledge of Microsoft Excel and Microsoft Word is
essential
* Good attention to detail
